The parent reports an absence in the panel and, once make-up classes are enabled, picks a make-up slot from the schedule. Klubownik checks free spots, the validity period and the monthly limit.

In short

You enable make-up classes in the attendance settings and in selected groups. An excused absence gives a make-up entitlement, valid for a period you set. The parent books a slot in the panel, an administrator can assign it themselves, and Klubownik checks free spots in the group and the monthly make-up limit. You also decide where make-ups are allowed: in the same group, in groups of the same discipline or in any group in the club.

    The parent reports an absence

    In the parent panel, for a single class or a longer period. An absence reported before the class is recorded as excused.

    A make-up entitlement is created

    Klubownik adds the make-up to the participant automatically. You set the validity period and the monthly limit in settings.

    The parent picks a slot

    In the panel they see the slots from the schedule they can attend and book a free spot. An administrator can also assign the slot.

    The coach has the make-up participant on the list

    The person making up the class appears on the attendance list for the chosen slot, and the coach sees upcoming make-ups in their panel.

In the panel the parent sees slots from the schedule until the make-up expires and signs up for a free spot. They can release the booking until the coach marks attendance.

When a group has a capacity limit, Klubownik counts the participants and scheduled make-ups before accepting another booking.

One view shows all make-up entitlements with their expiry dates. You assign slots and release bookings.

Good to know

  • Make-up classes are off by default. You enable them in Settings → Attendance and in each group that should use them.
  • Make-up classes apply to regular groups with a schedule. They don’t cover classes with pass-based sign-ups or participants on trial classes.
  • The make-up slot is chosen by the parent or an administrator. The coach doesn’t assign slots — they can only release a make-up in their own classes.

Frequently asked questions

How does a parent arrange a make-up class?

After reporting the absence, the parent sees the make-up entitlement in the panel and a list of slots the child can attend. They pick a slot with a free spot, and the child appears on the attendance list for that class.

Can I limit the number of make-ups?

Yes. You set how many make-ups per month one participant is entitled to — or turn the limit off — and how long the make-up entitlement stays valid. After that, the make-up expires.

Does an unexcused absence also give a make-up?

Not by default — only an excused absence, reported by the parent or marked by staff, gives the entitlement. If you want, you can turn off this restriction in the make-up settings.

How much does Klubownik cost?

Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
