In short

Klubownik keeps track of each participant’s charges: monthly, quarterly, half-yearly and yearly fees, class passes and one-off fees such as a joining fee. The next charges are created automatically before the period ends. The parent sees in the panel what is due and pays by bank transfer with a ready-made reference and QR code or online — once the club’s Stripe account is connected. Payment reminders go out automatically.

    You set your prices

    Passes and fees with a billing period, a payment due date and a rule for sign-ups mid-month: pro rata, in full, by thresholds or by the number of classes.

    Charges are created automatically

    Klubownik adds the next charges before the period ends. You can pause charging for a selected group.

    The parent pays

    In the parent panel: by bank transfer with a reference and a QR code for the banking app, or online by card and BLIK once Stripe is connected. Cash payments are entered by staff.

    Klubownik reminds and records payments

    Reminders before the due date and about arrears go out automatically. Online payments are recorded automatically, and you can settle bank transfers automatically once the bank inbox is activated.

Bank transfer with a ready-made reference and QR code

The parent sees the account number, a reference with the payment code and a QR code for the banking app. You can have several bank accounts, e.g. a separate one for a selected group or pass.

Card and BLIK via Stripe — the money goes to the club’s Stripe account, and the club pays the provider’s fee. Requires setting up and verifying a Stripe account.

Discounts, including for siblings

Automatic discounts for siblings, for seniority and more, plus promo codes. When several automatic discounts apply, the most favourable one counts.

Payment reminders

Before the due date and when a payment is overdue, combined for all of a guardian’s children — at most one email a day. A bank transfer reported by the parent pauses the reminders.

Good to know

  • Online payments work once the club has set up a Stripe account and it has been verified. BLIK is available only for clubs based in Poland, and fees charged to a card on a recurring basis work without BLIK.
  • Instalments are available only for camps. There are no instalments for fees and passes.
  • You can issue invoices manually, in bulk or automatically after payment — once enabled and with the seller details entered. KSeF (the Polish national e-invoicing system) works once enabled and with a token entered, only for clubs based in Poland.

Frequently asked questions

Does Klubownik take a commission on payments?

No. Online payments go through the club’s Stripe account, and the club pays the payment provider’s fee — Klubownik does not add its own commission. Once the transaction fee is enabled, you can pass it on to the payer.

What if a child joins mid-month?

Klubownik calculates the first fee according to the rule you choose: pro rata, in full, by thresholds or by the number of classes until the end of the period.

Can a parent pay for several months in advance?

Yes, once multi-month payments are enabled — for monthly passes and passes counted from the payment date. You decide how many months can be paid in advance.

How much does Klubownik cost?

Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
