In short

Klubownik shows who has stopped coming based on recorded attendance and overdue payments. On the Dashboard, in “Today’s plan”, you see participants of groups that are still training who haven’t been to a class for 30 days, and with the “Write to them” button you send them a message. In Statistics, the “Member health” tab divides participants into segments from engaged to lost, and “Retention” shows churn, average time to leaving and cohorts. After three consecutive absences in a group, the parent gets a notification, and once enabled, Klubownik sends a come-back invitation on its own to people absent for 30 days.

    The coach takes attendance

    All signals come from the attendance list and payments. An excused absence breaks the series of absences.

    People with no attendance for 30 days in groups that are still training appear in “Today’s plan”. In Statistics, each participant has a score and a segment.

    The parent gets a heads-up

    After a series of absences in the same group, Klubownik notifies the parent or the adult participant. You set the number of absences in the series yourself.

Alert after a series of absences

After three consecutive absences in the same group, the parent or adult participant gets a notification. You can change the threshold, from 1 to 20, in Settings → Attendance.

Come-back invitation

Once enabled, Klubownik checks daily who from groups that are still training hasn’t been to a class for 30 days and sends the parent or adult participant an invitation. To the same person at most once every 30 days.

Your own messages to inactive members

In Settings → Notifications, you create a segment, e.g. people with no attendance for a chosen number of days or with arrears, and a message with your own content sent daily or weekly.

Good to know

  • All signals come from recorded attendance. In a group where nobody takes attendance, participants have the status “No data” in “Member health” and do not appear on the list of people who stopped coming.
  • The come-back invitation is disabled by default — you turn it on in Settings → Notifications (“Member win-back”). Klubownik prepares the invitation text, and it cannot be edited.
  • The alert after a series of absences and the come-back invitation go out by email, in the panel and as a phone notification, without SMS. The alert has fixed content in Polish and English.

Frequently asked questions

How does Klubownik know someone is leaving?

From attendance and payments. A person with no attendance for 30 days in a group that is still training appears on the “Stopped coming” list, and overdue arrears lower their score in “Member health”. Klubownik does not predict departures — it shows signals that are already in the club’s data.

What about the holiday break?

The list on the Dashboard and the come-back invitation only take into account groups that have had classes in the last 14 days and people who joined the group at least 30 days earlier. When the whole club is on a break, nobody appears on the list.

Can I get this data by email?

Yes. In Statistics, you can set up a report schedule: the “Member health” report arrives daily, weekly or monthly as a PDF or CSV at the email addresses you specify.

How much does Klubownik cost?

Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
