How it works
The parent leaves an enquiry
Through a form at a link, a form embedded on your website or the club website built in Klubownik. The parent gets an automatic reply, and you get a notification about the new enquiry.
You book a trial session
You choose a group and a slot from the schedule. On the published club website built in Klubownik, the parent can book a free slot themselves.
Klubownik reminds and invites
The parent gets a confirmation and a reminder the day before the class. After the session, Klubownik sends an invitation to enrol and repeats it a few days later.
Enrolment closes the enquiry
When Klubownik clearly recognises the enrolled child, it marks the enquiry as enrolled itself — otherwise you do it in Recruitment. Enquiries with no response move to lost, and after some time Klubownik can invite the parent again.

Messages around the trial session
A confirmation after booking, a reminder the day before, a message after a no-show and invitations to enrol after the class. You can turn off each of these messages.
Slot booking by the parent
On the club website built in Klubownik, the parent picks a group and a free slot from the schedule. It works once the website is published and the trial session booking block is added.
Trial session capacity
You set how many people can come for a trial in a single class. When the spots run out, the slot disappears from the form.
Seasonal recruitment
A separate recruitment form with its own link or as a widget on your website — for example for a new season or a new group.
Club sign-up form
A link where the parent enters the child’s details, and the form suggests a group based on the date of birth. You accept sign-ups automatically or after approval.
Good to know
- Slot booking by the parent works only on the club website built in Klubownik. On your own website you can embed the enquiry form, but not the booking calendar.
- Emails work from day one. SMS in automatic messages go out once SMS is enabled in the club, on a paid plan and only to Polish phone numbers.
- The trial session booking confirmation is sent in Polish.

Can parents book their child for a trial session themselves?
Yes, on the published club website built in Klubownik with a trial session booking block. The parent picks a group and a free slot, and the enquiry appears in Recruitment right away. Without the club website, you book the trial session from the panel, and the parent gets the same reminders.
How do I know what stage an enquiry is at?
Each enquiry has a status: new, trial session booked, after the trial session, in contact, enrolled or lost. You can browse enquiries by status.
Can I collect enquiries for a new season?
Yes. Seasonal recruitment has its own form with a separate link and as a widget for your website. Enquiries land in the same Recruitment as all the others.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
