Age categories for groups. The sign-up form suggests the right group based on the child’s date or year of birth.
Capacity and waiting list
Each group has a capacity limit. Once it’s full, you either block sign-ups or turn on a waiting list — when a spot frees up, Klubownik enrols the first person in the queue and notifies them.
Medical checks and insurance with expiry dates
Parents send a scan of the medical certificate or insurance from their phone, and the club approves it. Once reminders are enabled, the system warns before expiry — 30 days ahead by default.
Shows, tournaments and workshops
Events with capacity, a sign-up deadline, a fee and your own questions in the form. Parents sign their child up in the panel and get a reminder the day before.
Documents and consents online
Document templates for the club to adapt, finger signature on the phone and re-acceptance after a new version. On the attendance list, the coach sees who has no consent for photos.
Camps, day camps and gallery
Sign-ups for camps and day camps with a deposit and a PDF registration form (paid by bank transfer), plus a private photo gallery for parents of selected groups.
How it works in your club
Enquiry or trial class
A parent leaves an enquiry through the club’s form or books a trial class on the club website built in Klubownik. The enquiry lands in Recruitment, and messages before and after the trial class go out automatically.
Group, capacity and fees
The participant joins a group by age, with a capacity limit and — once enabled — a waiting list. The fee or pass is created automatically every period, and the parent pays by bank transfer with a ready reference or online.
Attendance and make-up classes
The coach takes attendance on the phone, the parent reports an absence in the panel and, once make-up classes are enabled, picks the make-up date themselves.
Contact and the next month
Notices about cancelled classes and schedule changes reach parents automatically, you send announcements to a whole group, and the next charges and arrears reminders are created without your input.
Frequently asked questions
Is there a gymnastics module, for example with judges’ scores?
No. Klubownik does not handle judges’ scores or competition categories. A gymnastics club uses the core features: groups, schedule, attendance, fees, documents, events and camps.
Will you remind us about expiring medical checks?
Yes. Athletes’ medical checks and insurance have expiry dates. Parents send a scan from their phone, the club approves it and, once reminders are enabled, the system warns before expiry — 30 days ahead by default.
How do I organise a training camp?
A camp has sign-ups (including public ones), a deposit, instalments once enabled, add-ons, transport and a registration form as PDF. Camp payments are made by bank transfer.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
How do I move my data and get started?
You upload the list of participants and guardians from Excel or CSV: missing groups are created automatically, duplicates are detected and you can undo the import for 72 hours. We help with onboarding free of charge — a questionnaire, club setup and data import.
Is there an app for parents?
Parents use the panel in the browser and can install it on their phone like an app. In Poland, Android users can also get the Klubownik app on Google Play. On iPhone, notifications work after adding the panel to the home screen.
