What you get
Groups by level and age
You record the skill level in the group name and set age categories for groups. The sign-up form suggests a group based on the child’s date of birth.
Capacity and waiting list
Each group has a capacity limit. Once it’s full, you either block sign-ups or turn on a waiting list — when a spot frees up, Klubownik enrols the first person in the queue and notifies them.
Trial classes with reminders
Parents book a trial class on the club website built in Klubownik. They get a reminder the day before and an invitation to sign up after the class; enquiries land in Recruitment.
Make-up classes
Once make-up classes are enabled, the parent reports an absence in the panel and picks a make-up slot from the schedule. The system checks free spots, the validity period and the monthly limit.
One panel for the whole family
All children on one parent account, a second guardian and people authorised to pick up. Parents see the calendar, report absences, pay and sign documents.
Fees, passes and siblings
Monthly, half-yearly and yearly fees, joining fees and class passes. New charges are created automatically and, once enabled, the system calculates the sibling discount.
How it works in your club
Enquiry or trial class
A parent leaves an enquiry through the club’s form or books a trial class on the club website built in Klubownik. The enquiry lands in Recruitment, and messages before and after the trial class go out automatically.
Group, capacity and fees
The participant joins a group by age, with a capacity limit and — once enabled — a waiting list. The fee or pass is created automatically every period, and the parent pays by bank transfer with a ready reference or online.
Attendance and make-up classes
The coach takes attendance on the phone, the parent reports an absence in the panel and, once make-up classes are enabled, picks the make-up date themselves.
Contact and the next month
Notices about cancelled classes and schedule changes reach parents automatically, you send announcements to a whole group, and the next charges and arrears reminders are created without your input.

Does Klubownik have a module for swimming schools?
There is no separate swimming module. The school uses the core features: groups, schedule, sign-ups, passes, make-up classes and the parent panel. You can set the discipline “Swimming” for the groups.
How do I run groups by level?
You record the level in the group name, e.g. “Beginners 6–8 years”, and for the group you set the capacity limit and age category. When a child moves up, you move them to another group.
Can I limit the number of children in a group?
Yes. Every group has a capacity limit. Once it’s full, you block sign-ups or — once enabled — run a waiting list, from which Klubownik automatically enrols the first person when a spot frees up. Klubownik does not book pool lanes or zones.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
How do I move my data and get started?
You upload the list of participants and guardians from Excel or CSV: missing groups are created automatically, duplicates are detected and you can undo the import for 72 hours. We help with onboarding free of charge — a questionnaire, club setup and data import.
Is there an app for parents?
Parents use the panel in the browser and can install it on their phone like an app. In Poland, Android users can also get the Klubownik app on Google Play. On iPhone, notifications work after adding the panel to the home screen.
