What you get
Class booking with capacity limits
Once bookable classes are enabled, the client reserves a spot in the panel, and when the class is full they join the waitlist. A visit is deducted from the pass only after attendance, and you set the free cancellation deadline yourself.
Visit-based and time-based passes
Passes for a set number of visits, time-based passes and a single-visit pass. Pass freezing works from the start, and you can turn on gift vouchers and the family wallet in the settings.
Buying passes online
The client buys a pass in their panel or from the price list on your website — by card, plus BLIK in Poland, once online payments via Stripe are connected. You can charge the monthly fee to the card automatically.
QR code check-in
The client shows the code on their phone and you scan it with yours — attendance is recorded and a visit is deducted from the pass. Once enabled, the client checks in themselves by scanning the class code.
Workshops and trips with sign-ups
Events with capacity, a sign-up deadline, a fee and your own questions in the form — also for people from outside the club. Those signed up get a reminder the day before.
Announcements and notifications
Announcements to the whole club, a group or a location go out by email and in the app. Notices about cancelled classes and schedule changes reach parents automatically.
How it works in your club
The client buys a pass
In their panel or from the price list on your website — by card, plus BLIK in Poland, once online payments via Stripe are connected. You can also allow purchases paid in cash on site.
Books a class
Once bookable classes are enabled, the client reserves a spot in the panel. If the class is full, they join the waitlist and get a notification when a spot frees up.
Checks in with a QR code
They show the code on their phone, and you scan it with yours. Attendance is recorded, and a visit is deducted from the pass only after attendance.
Another pass or a fee charged to the card
When the visits run out, the client buys another pass in the panel. You can also charge a monthly fee to the client’s card automatically via Stripe.
Frequently asked questions
Can a pass be frozen for the duration of a trip?
Yes. Pass freezing is on from the start, and you can turn it off in the pass settings.
Can I organise a workshop or a retreat?
Yes, as an event with capacity, a sign-up deadline, a fee and your own questions in the form — also for people from outside the studio. You can run a longer retreat as a camp with a deposit; you accept camp payments by bank transfer.
Can I sell a single visit?
Yes, as a single-visit pass. The client buys it in the panel or from the price list on your website once online payments via Stripe are connected.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
How do I move my data and get started?
You upload the list of participants and guardians from Excel or CSV: missing groups are created automatically, duplicates are detected and you can undo the import for 72 hours. We help with onboarding free of charge — a questionnaire, club setup and data import.
Is there an app for parents?
Parents use the panel in the browser and can install it on their phone like an app. In Poland, Android users can also get the Klubownik app on Google Play. On iPhone, notifications work after adding the panel to the home screen.
