Monthly, half-yearly and yearly fees, joining fees and class passes. New charges are created automatically and, once enabled, the system calculates the sibling discount.
Transfers and reminders
Parents see the account number, a reference with a code and a QR code for their banking app. Arrears reminders go out automatically, and online card payments — plus BLIK in Poland — work once Stripe is connected.
Coaches, contracts and pay
Once enabled: coach pay by rate per session, per hour or per participant present, plus service contracts and volunteer agreements accepted online.
Child safeguarding
Standards, staff declarations, an incident register and a reminder to review the standards — in every plan. The documents are in Polish and do not replace checking staff in the official registers.
Attendance on the coach’s phone
The coach takes attendance on the phone, even for the whole group at once. Without signal, marks on an already open list are sent when the connection returns, and you can export lists to Excel.
How it works in your club
Enquiry or trial class
A parent leaves an enquiry through the club’s form or books a trial class on the club website built in Klubownik. The enquiry lands in Recruitment, and messages before and after the trial class go out automatically.
Group, capacity and fees
The participant joins a group by age, with a capacity limit and — once enabled — a waiting list. The fee or pass is created automatically every period, and the parent pays by bank transfer with a ready reference or online.
Attendance and make-up classes
The coach takes attendance on the phone, the parent reports an absence in the panel and, once make-up classes are enabled, picks the make-up date themselves.
Contact and the next month
Notices about cancelled classes and schedule changes reach parents automatically, you send announcements to a whole group, and the next charges and arrears reminders are created without your input.
Frequently asked questions
Can Klubownik prepare a report for the municipality or a grant settlement?
There is no ready report for the municipality or grant settlement. You have a season summary as PDF (revenue, sign-ups, sessions, hours, attendance) and an export of participants, payments and attendance to Excel.
Will you recognise transfers from parents?
Yes, after activating automatic transfers, if your bank sends an email for every incoming payment: the system recognises the payer and books clear-cut payments, leaving unclear ones for you to decide. You can also upload a bank statement.
How do I handle pay for coaches and volunteers?
Once pay settlements are enabled, you set a rate per session, per hour, per participant present or a flat fee, and coaches see their own settlements. Coaches accept service contracts and volunteer agreements online.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
How do I move my data and get started?
You upload the list of participants and guardians from Excel or CSV: missing groups are created automatically, duplicates are detected and you can undo the import for 72 hours. We help with onboarding free of charge — a questionnaire, club setup and data import.
Is there an app for parents?
Parents use the panel in the browser and can install it on their phone like an app. In Poland, Android users can also get the Klubownik app on Google Play. On iPhone, notifications work after adding the panel to the home screen.
