In short
In Klubownik, you inform parents with an announcement or a message from the Send screen. You choose recipients by group, location, age category or individual person, and the channels are email, the parent panel, phone notifications and — once enabled — SMS. When you cancel a class in the Calendar or change a group’s schedule, Klubownik emails the guardians of that group’s participants on its own. You can hold automatic messages overnight with quiet hours.

You choose the channels
Email, a message in the panel and a phone notification are selected by default. You add SMS when sending, if the club has it enabled.
The parent receives the message
In their email inbox and in the parent panel, and — if they have turned on notifications — on their phone too.
Schedule changes go out automatically
After a class is cancelled or a group’s schedule changes, guardians get an email, and the cancelled session is marked in the parent’s calendar.

Sending to selected people
On the Send screen, you write to groups, locations, age categories, cities or specific participants and guardians. You can attach a file to the message.
Club announcements
An announcement for the whole club, a group, a city or selected participants goes to the panel and by email. You can pin important ones, and you tick the phone notification when publishing.
Cancelled classes and schedule changes
You cancel classes in the Calendar, including several sessions at once, and enter a reason. The guardians of the group’s participants get an email — the same happens after a schedule change.
Phone notifications
The parent turns them on in the panel on each of their devices. On iPhone they work after adding the panel to the home screen (iOS 16.4 or later).
SMS from your plan’s allowance
Once SMS is enabled in the settings, you add it to a message. Before sending, you see how many SMS messages it will use from your plan’s monthly allowance.
Quiet hours
You set quiet hours for each automatic message. A message that would go out at night is sent once they end.
Good to know
- SMS is disabled by default. You turn it on in the SMS settings; it works on a paid plan (not during the trial period) and only to Polish phone numbers.
- Notifications about cancelled classes and schedule changes arrive by email, in Polish. If you want parents to get a phone notification as well, publish an announcement.
- Announcements and Send are handled by the owner or an administrator. Parent chat with staff is in testing and you can turn it off; conversations between parents are disabled by default.
Frequently asked questions
How will parents find out about cancelled classes?
You cancel the session in the Calendar and can enter a reason. Klubownik emails the guardians of the group’s participants, and the session is marked as cancelled in the parent panel calendar. You can add a phone notification with an announcement.
Can I send SMS messages to parents?
Yes, once SMS is enabled in the settings and on a paid plan. You add SMS to a message on the Send screen. SMS messages come from the plan’s monthly allowance, only to Polish phone numbers, and once the allowance runs out, SMS sending stops.
Does the parent have to install an app to get messages?
No. Messages arrive by email and in the parent panel, which works in the browser. The parent turns on phone notifications in the panel; on iPhone, after adding the panel to the home screen.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
