In short

You prepare documents in the AI Documents menu: from a ready-made template such as a membership declaration, fee rules or a GDPR information notice, from your own PDF or from scratch. For each document, you choose how it is accepted — a finger signature on the screen, a confirmation of having read it or a voluntary consent, e.g. for image use — and the groups it applies to. The parent accepts documents when signing up for the club or in the parent panel, and Klubownik records the content, version and time of each acceptance. The templates are a starting point: you adapt them to your club.

    You choose a template, upload your own PDF or write from scratch. Fields such as the participant’s name or the club name pull data from Klubownik.

    You set the rules

    You choose the acceptance method and the groups the document applies to. You mark whether it is required when signing up for the club.

    The parent accepts

    When signing up or in the panel: with a finger signature, a single click or a consent decision. They can also send back a scan of a signed printout.

    You check the signature register

    You see who has accepted the current version, send a reminder to the rest and download the register as a CSV file.

Once enabled, a parent with unsigned documents sees only the documents screen after signing in until they sign them.

Good to know

  • The templates are not legal advice. They are a starting point — adapt them to your club’s activities before use.
  • You send a reminder about an unaccepted document with a button — Klubownik does not send reminders on its own. A finger signature is not a qualified electronic signature.
  • Minor protection works only for clubs based in Poland. Klubownik does not check staff against registers — it collects declarations and keeps a register of reports.

Frequently asked questions

Are the document templates ready to use?

They are a starting point: you adapt the content to your club, because the templates are not legal advice. You can also upload your own rules as a PDF — the parent downloads and accepts them in the panel.

How do I collect image consent?

You create a document in voluntary consent mode — you can add the image clause from the ready-made clauses. The parent gives or refuses consent for each child and can withdraw it, and the coach sees on the attendance list who has no consent.

Are the documents written by artificial intelligence?

Not necessarily. You start from a template or your own text. AI can turn an uploaded PDF into an editable template with fields from Klubownik or suggest a missing clause — always as a draft for you to check, within the club’s monthly AI limit.

How much does Klubownik cost?

Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
