Klubownik has a martial arts module: ranks with requirements, exams with sign-ups and fees, a club card as PDF, athlete profiles and competition entries. Ready rank templates exist for karate, judo, BJJ, krav maga, aikido and taekwondo, and for other martial arts, e.g. ju-jitsu or muay thai, you build your own system. On top of that come the core features: groups, attendance, payments and the parent panel. The first 30 days are free, no card.

Progress towards the next rank
Each rank has requirements: sessions since the last rank, time in training and age. Parents and athletes see the progress and a “Ready for exam” marker, and the club — the owner or an administrator — awards the rank.
Exams with sign-ups and fees
Date, capacity and online payment. The club signs people up and, once enabled, so can parents or anyone via a link or a widget on the club website. A passed exam records the new rank in the history right away and notifies parents.
Passes and QR scanner
Passes and the coach’s QR scanner. Online card payments, plus BLIK in Poland (via Stripe), and reminders about overdue fees.
Club card as PDF
Five card designs with the athlete’s photo and details, double-sided print of up to 10 cards per A4 sheet.
Child safeguarding
Standards, staff declarations, an incident register and a reminder to review the standards — in every plan. The documents are in Polish and do not replace checking staff in the official registers.
How it works in your club
Sign-up or trial class
A parent leaves an enquiry through the club’s form or books a trial class on the club website built in Klubownik. The enquiry lands in Recruitment, and messages before and after the trial go out automatically.
Group and fees
The participant joins a group by age, and the membership fee or pass is created automatically every period. The parent pays by bank transfer with a ready reference or online, and the system sends reminders about arrears.
Attendance and progress
The coach takes attendance on the phone, and every session brings the athlete closer to the requirements of the next rank. Parents and athletes see the progress in the panel.
Exam and new rank
A passed exam immediately records the new rank in the history and notifies parents. You can also award a rank manually, to one person or several at once.
Frequently asked questions
Can one school teach several martial arts?
Yes. Groups can have different disciplines, and you track ranks in the systems you set up — from a ready template or your own.
My martial art isn’t among the templates. What then?
You build your own rank system: names, belt colours and requirements such as the number of sessions, time in training and age. You can also start from one of the ready templates and change it.
Are exams and ranks included in every plan?
Yes — every plan includes one industry module, and the martial arts module has ranks and exams. You turn on exams and passes in the settings, because they are off by default.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
How do I move my data and get started?
You upload the list of participants and guardians from Excel or CSV: missing groups are created automatically, duplicates are detected and you can undo the import for 72 hours. We help with onboarding free of charge — a questionnaire, club setup and data import.
Is there an app for parents?
Parents use the panel in the browser and can install it on their phone like an app. In Poland, Android users can also get the Klubownik app on Google Play. On iPhone, notifications work after adding the panel to the home screen.
