- Export a CSV or XLSX file from WodGuru with participants (contact details), guardians and groups — and, if your file has them, the columns with fees for each month.

Check what the importer brings over
The importer brings over participants, guardians, group assignments and monthly fees from the month columns. You set up the class schedule in Klubownik yourself, and attendance history and invoices from WodGuru are not imported — keep the export as an archive.
Prepare the data mapping
Verify field compatibility, phone numbers, email addresses, and family links. This is what most often defines migration quality.
Test the import on a small sample
Before uploading the full file, test a few records and confirm that profiles, families, and groups look correct.
Plan the communication to parents and staff
Send a clear update on when the system changes, where parents log in, and when the new panel becomes the source of truth.
Important notes
- The least risky path is to pick a clean cut-over date and avoid running two active systems in parallel longer than necessary.
